Start with the room and the program
Before selecting LED screens, speakers or lighting fixtures, confirm ceiling height, rigging points, power, loading access, audience size and the viewing distance. These details define what equipment will actually work in the venue.
Group equipment by function
Separate the list into screen systems, sound, lighting, staging, signal routing, power, control desks and support tools. This keeps the proposal readable and makes it easier to notice missing adapters, stands, cables or backup devices.
Leave space for support
Rental equipment is only one part of the job. Delivery, installation, testing, tuning and on-site engineers should be planned together so the system is ready before doors open.
